Responsibilities

Salary Range:  $21.50-$25.00 per hour
Primary purpose of this position is to serve as the first point of contact for visitors and employees, delivering professional front-desk support and ensuring a welcoming, well-organized workplace environment. Key responsibilities include answering and routing incoming phone calls, supporting smooth office operations, and helping the accounting department with tasks such as invoice processing and administrative documentation. The role may also involve light support for human resources activities, such as assisting with orientation, scheduling meetings and creating communication materials as needed.

Responsibilities
  • Operate the main phone system, routing calls to appropriate personnel and taking accurate messages when needed.
  • Greet authorized visitors, notify relevant staff, ensure visitor registration is completed, and provide general company information as appropriate.
  • Assist with a variety of HR administrative tasks, including but not limited to new hire onboarding, preparing orientation materials, scheduling meetings, updating communication boards, assisting with employee engagement activities, security badge management, and printing labels.
  • Retrieve, sort, and distribute incoming mail and interoffice correspondence; manage outgoing mail processes.
  • Open and close the lobby each day, including lighting, securing the entrance, and maintaining cleanliness and organization of shared spaces (lobby, kitchen, conference rooms, supply room).
  • Order and maintain inventory of office supplies, restocking items as needed.
  • Coordinate hotel and car rentals as needed.
  • Provide administrative support to the accounting department, including:
    • Verify shipping records against sales invoices.
    • Resolve any discrepancies and notify responsible parties.
    • Dispatch verified invoices to customers.
    • Maintaining organized filing systems for physical shipping records documents
    • Assisting with year-end audits by compiling and providing requested documentation
  • Perform other duties as assigned to support smooth office operations. 

Qualifications

Qualifications
  • High proficiency in Microsoft office products such as MS Teams, Outlook, PowerPoint, Excel, Word is required. Knowledge and proficiency of Microsoft SharePoint a plus.
  • Ability to understand and be empathetic to our customers’ needs/expectations.
  • Customer-service mindset with a proactive, problem-solving approach.
  • Must have strong people and customer service skills with a positive demeanor as well as effective verbal and written communication skills.
  • Complete administrative tasks with great detail and accuracy in a timely manner.
  • Need to be well organized, maintain 5S organization of work area and mail room.
  • Demonstrated ability to manage multiple priorities and adapt to changing needs.
  • Ability to handle confidential information with discretion and integrity.
  • Basic understanding of accounting principles and willingness to assist with financial administrative tasks.
  • Excellent attendance and punctuality is required.
  • Associates Degree in Business Administration or related field is preferred. High school diploma or General Education Development certificate (GED) is required. 1-3 years of administrative/receptionist or customer service experience is preferred.
